Under general supervision, this position performs executive administrative duties under the direction of a Central Health Executive.Schedules appointments and meetings by arranging meeting space, coordinating schedules, and sending meeting notices. May attend meetings and take and/or transcribe meeting notesUtilizes the computer to perform word processing and data entry, updating and maintaining spreadsheets, preparing, proofing and editing presentationsConducts research, develops reports and other information, and composes routine correspondenceSupports Division staff by maintaining joint event calendars, providing information, interpreting and executing administrative policies and procedures, organizing physical and electronic files, making travel arrangements, handling expense reports, reconciling P:card or business credit card statements and by otherwise relieving them of administrative detail as requestedMaintains and orders inventory of communications materialsMay serve as Clerk for assigned Board Committee meetings. Assists with high level meetings including attendance, agenda preparation etc. as requested. Orders and arrange meals and/or refreshments for specific meetings as requestedManages projects, including support for events and meeting logisticsAssists as part of a team with gathering responsive information for public information requests and other time:sensitive and confidential issues, concerns and questionsActively identifies opportunities for system improvements and develops solutions to streamline work processes and improve effectiveness in the DivisionPerforms other duties as assignedKnowledge of:Administrative and clerical procedures and systems such as filing and records management systems, transcription and other office proceduresConfidentiality methods and techniques for the paper handling and precautions for classified, confidential and sensitive informationRecords management processes and/or methods for inventorying, verifying, logging, preparing, filming/scanning, and filling of recordsProcess development and process improvement skillsSkill in:Strong problem solving skills with effective follow through, analyzing information and evaluating results to choose the best solution and solve problemsStrong listening, verbal, presentation and written communication skillsKnowing how to find information and identifying essential informationPerforming complex operations in Microsoft Office Suite and the internet.Performing executive administrative functions including scheduling travel, meeting planning and coordinating calendar activitiesActively looking for ways to help people and establishing and maintaining effective working relationshipsTaking and/or transcribing notes of meetingsFinding ways to structure or classify multiple pieces of informationCommunicate information and ideas in writing so others will understandManaging ones own time and the time of othersAbility to:Efficiently shift back and forth between two or more activities or sources of informationApply independent discretion and judgment in handling sensitive and confidential communications and materialsTo handle detail and constantly change between competing prioritiesDevelop strong interpersonal skills with the ability to interface effective both externally and internally with a wide range of peopleCorrectly follow a given rule or set of rules in order to arrange things or actions in a certain order including procedures, orders or logical operationsMinimum 60 credit hours from an accredited college and five years of administrative experience with preference given for administrative experience in healthcareAny equivalent combination of education and/or experience may substitute
