General Notes
Position is part-time, 20 hours per week. Consistent work schedule will be pre-arranged with supervisor and is flexible between the hours of 7am-6pm, but must work a minimum of three days per week in the office.

Purpose
Provide academic coordination for University Extension programs and courses.
Essential Functions
Assist senior program staff to schedule and execute public and custom program courses offered through University Extension. Enter and ensure the accuracy of course schedule data in unit registration system and on public website. Reserve classrooms. Coordinate course additions, cancellations, and closures. Work with Registrar to resolve issues. Update internal records and notify staff and faculty of assignments and changes. Generate and submit information for instructor appointments and contracts. Collect supporting documentation from new hires. Provide monthly payroll statements to instructors; resolve payment issues. Monitor and respond to departmental email account for faculty, working closely with Student Services staff to resolve first-tier issues. Track and follow up on late grading and other instructional issues. Collect syllabi from instructors. Ensure compliance with HB 2504 and university requirements. Track and monitor course, instructor and other curricular approvals. Under supervision, draft agreements with other academic units. Provide admin support as needed for agreements, records retention and course instructor surveys. Provide summary data of past and current course and financial data. Maintain department shared document storage areas. Assist with projects and other admin tasks as requested.

Other related functions as assigned.
Required qualifications
Bachelors degree and 3 years of administrative experience. Demonstrated competence in administrative work including the ability to execute institutional procedures and meet deadlines. Demonstrated interpersonal, verbal and written communication skills commensurate with working with faculty and UT academic leadership; detail-oriented; ability to organize large amounts of information. Proven capacity to prioritize tasks, exercise discretionary judgment and solve problems independently. Experience and comfort with Excel, Outlook, data presentation and website editing. Professional demeanor.
Equivalent combination of relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Knowledge of UT Austin policies and practices. Prior experience in higher education administration. Experience with Canvas. Advanced experience with Excel, web publishing, HTML.

A criminal history background check will be required
for finalist(s) under consideration for this position.
The retirement plan for this position is Teacher Retirement
System of Texas (TRS), subject to the
position being at least 20 hours per week and at least
135 days in length.
