Fallbrook is seeking an Office Assistant. The position will be based in our headquarters facility in Cedar Park near Austin, Texas. INTERFACES: + Communicate and interface with IT, finance, HR, facilities, and customer support personnel + Maintain office inventory by ordering and stocking supplies, inclusive of all office, kitchen, janitorial and paper supplies + Check mail daily and distribute to all staff + Assist with Purchase Requisitions and Expense Reports for VP of PD and PD Managers + Code company credit card receipts for Finance Processing + Schedule appointments and meetings for Executive and upper level staff, in collaboration with Executive Assistant to CEO, if required + Communicate with Janitorial Service, Copier Service and other facilities contacts. + Prepare UPS packages for international and domestic shipments + General administrative responsibilities including word processing, spreadsheets, faxing, copying, filing and shipping. + Print and post conference room schedules daily. + Preparation of weekly Labor Reports in a timely manner for VP of PD and other Engineering Managers + Assist in preparation of Bi-weekly Sales Report/Presentation + Enter ActiTime for VP of PD + Run errands, as requested, for needed supplies + Phone support, answer main lines, transfer calls as needed, relay messages and assist callers as needed + Basic Ad-Hoc reporting as needed Visitor Control and Coordination: + Reception, including control of various walk-in visitors + Coordinate catering for in-office lunches as needed + Provide refreshment set up and services for meetings as requested + Clean conference rooms after onsite visitor meetings conclude Required: + Minimum of 3 years of experience performing key responsibilities listed above + High School diploma or equivalent + Strong proficiency with Microsoft Office + Hands on and proactive personality + Communication: Must have strong communication skills and have the ability to speak to a varied audience + Excellent organizational skills and strong attention to detail a must ID: 2017-1089
