Location: Austin, TexasDivision: OperationsPosition: Full-TimeSupervisor: VP of HRSummary The front desk clerk/receptionist is responsible for performing routine clerical, secretarial and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping.Position ResponsibilitiesManages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.Maintains and makes necessary alterations of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.Responsible for the cleanliness of reception areas, conference rooms, breakroom, and printer areasAssists with the negotiation and purchase of office supplies and furniture, office equipment, breakroom supplies, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.Greets visitors and determines whether they should be given access to specific individualsCoordinate special events that are held at the company, division, and/or department levelProactively manages calendars while providing arrangements for meetings, travel, and eventsProactively adheres to the time sensitivity of business matters and contractsPrepares workstations for incoming and outgoing employeesParticipates as needed in special division/department projectsArranges breakfast, lunch, and dinner meetings as necessaryAssists with other related clerical duties such as photocopying, faxing, filing and collatingProvide personal assistance support to CEO such as making personal appointments, running errands, and other general administrationWorks with Leasing Office on facility mattersRetain and effectively apply training and direction from managementAdherence and accountability with regards to company policies and valuesWork effectively in a collaborative work environment and professionally represent EBQuickstart to clientsPerforms other duties as assigned which may include periodic travel among other dutiesMinimum QualificationsA high school diploma or GED equivalent with at least one year of administrative experienceProven knowledge of accounting, data and office management practices and proceduresProven knowledge of clerical practices and proceduresComputer skills and proven knowledge of office software packagesExperience in a fast-paced environmentKey CompetenciesStrong written and verbal communication skillsExercises good judgment and problem solvingStrong decision making skillsEffective planning and organizingStrong time management skillsAttention to detail and a high level of accuracyInformation gathering and monitoringInitiative and adaptabilityIntegrityStress toleranceTeamwork and collaborationPhysical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.While performing the duties of this job, the employee is regularly required to talk or hear.
