Job Description:/h3:
We are looking for a self motivated, upbeat Administrative Assistant. Work Hours will vary but mainly be from Mon : Friday from 11am:3pm
: Must have a minimum of two years administrative experience.
: Excellent interpersonal, WRITTEN and oral communication skills.
: Must have a professional demeanor via phone and in person
: Must be able to use MS Word, Excel and PowerPoint and Database software for various office tasks
: Must be able to conduct research using various outlets
: Must be self sufficient and able to set priorities and deadlines
: Ability to deal with various personalities
: Must have a flexible schedule, may be needed to work overtime
: Must be detailed and organized and be able to create processes for others to follow
: Must have an outgoing personality to meet and greet guests, mentor external contractors and staff
: Must be able to create and maintain filing systems on the computer as well as hard files
: Must be confident speaking with groups of individuals from entry worker level to executive
: Must have supply management skills
: Must be bilingual
: Reception duties include answering the phone, in:person inquiries from staff, clients and visitors.
: Represent and Market company at trade shows, events and general public.
: Word processing, creating and executing mail merges, file maintenance and creation. Make copies. File.
: Sort and distribute mail.
: Log in deliveries and notify recipients.
: Ship out packages.
: Organizing files.
Data Management
:Maintain employee schedule.
: Maintain lists for mailings using spreadsheets and databases.
: Internet searches for information.
: Discretion in handling confidential matters
: Proofreading and editing are a MUST.
: Create business correspondence (business letters, marketing brochures, flyers, etc.) and marketing materials using graphic design software programs
: Update and correct communication pieces. Assist with web projects including research and data entry.
