Job Description:/h3:
ADMINISTRATIVE ASSISTANT / OFFICE MANAGER
Summary: The Administrative Assistant/Office Manager to support the Ironwood Connection office to ensure smooth and efficient operations including answering product inquiries, taking customer orders, assisting with scheduling, coordinating with outside sales, vendors, customers, and other general administrative duties as needed.
Ideal candidates will have strong managerial and organizational skills, and at least 5 years of administrative experience. Participate in weekly, monthly management meetings and/or conference calls and training. Previous work in a manufacturing/ building material environment helpful. This position is combined with customer service initiatives and providing administrative support to Branch Manager as needed.
Responsibilities for the Sales Support role:
:Maintain office equipment
:Organize and maintain company files
:Coordinate with financial officer to assist with accounts payable and invoicing
:Ensure company certifications remain current and active
:Entering and taking orders via phone, email and customer purchase orders.
:Managing customer orders until they are complete and ready for shipment.
:Assist customers with questions concerning tracking, return paperwork, product information, sales quotes, shipping mistakes and basic technical knowledge via phone and email.
:Investigate and help resolve customer concerns promptly.
:Review and revised purchase orders to ensure order match price sheets and specs
:Entering orders into SAP and assist with scheduling
:Manage all incoming scheduling/POs for contracted builders and input scheduling in Trello in a timely manner
:Regular communication to outside sales team members on customer interaction and order control.
:Learn products, systems, and sales processes in a fast pace environment
:Clear communication with other support staff in regards to credit, accounting, marketing, purchasing, and customer management.
Job experience and requirements:
:5+ years of administrative or office manager experience
:Extremely organized and efficient
:Very detail oriented and process driven
:Strong customer service skills and experience
:2:3 years experience building industry a plus
:Highly motivated self:starter that is capable of multi:tasking
:Proficient in Microsoft Office Excel, Word and Outlook (above average skills)
:SAP experience a plus
:Excellent communication skills
:Detail:oriented
:Able to work in fast paced environment with deadlines
